Sender reputation: the score nobody shows you
What sender reputation is
Sender reputation is the accumulated judgment a mailbox provider holds about a sending identity — the running answer to "when mail arrives from this source, do our users want it?" Every large receiver maintains one, built from complaint rates, engagement, bounce patterns, spam-trap hits, authentication history and volume behavior. It is the single biggest input into whether your next message lands in the inbox, the spam folder, or gets refused at the door.
Three properties define how it behaves in practice. It is per-provider: Gmail, Microsoft and Yahoo each keep their own ledger, score it their own way, and share nothing, which is why placement can differ sharply between them. It is composite: the identity being judged is really two identities, your sending IP and your sending domain, tracked separately and weighted differently by different receivers. And it is opaque: no provider publishes your score. You see samples and shadows — Google Postmaster Tools shows a coarse domain-reputation band for Gmail, Microsoft SNDS shows complaint and trap data for your IPs — but the actual number is internal.
The often-quoted "Sender Score" is not that number either. It is a third-party estimate published by Validity, useful as a directional signal, but no mailbox provider is obliged to agree with it.
How sender reputation differs from IP and domain reputation
The terms nest. IP reputation and domain reputation are the two tracked components; sender reputation is the umbrella judgment a receiver assembles from both, plus message-level signals.
The split matters because the components move differently. An IP's history attaches to infrastructure — switch ESPs and you inherit new IPs with their own standing, clean or otherwise. A domain's history attaches to you — it follows through every migration, which is precisely why modern filtering weights domains heavily. Providers watched spammers rotate through cheap IPs for a decade; a domain with years of wanted mail behind it is far harder to counterfeit.
The practical reading: infrastructure choices (shared pool versus dedicated IP) determine how much of the IP-side ledger you control, while your list and content practices write the domain-side ledger no matter what infrastructure you rent.
How sender reputation works
Providers do not disclose their models, but the input families are well established and largely overlap:
- Complaints. Recipients pressing "report spam" — the most direct measurement of unwantedness a provider has. Tracked as a rate, with Google's sender guidelines publishing explicit spam-rate expectations.
- Engagement. Opens, replies, moves out of spam, adds to contacts — and their negatives: deletions without reading, moves into spam, sustained silence.
- Hygiene evidence. Unknown-user bounce rates and spam-trap hits, both of which describe how a list was built and maintained.
- Authentication. Consistent, aligned SPF, DKIM and DMARC — now baseline bulk sender requirements at Gmail and Yahoo, and the identity layer that lets the rest of the history bind to the right sender at all.
- Volume behavior. Steady, predictable cadence versus erratic bursts; sudden surges from a quiet identity resemble compromise.
Two dynamics govern how the ledger moves. Recency weighting: recent behavior counts more, so reputations both recover and decay on a timescale of weeks, not days. And credit extension: the better your history, the more benefit of the doubt a borderline campaign receives — reputation is a buffer you draw on exactly when something goes wrong.
Sender reputation and your deliverability
Reputation is the mechanism through which nearly every deliverability practice pays off or backfires. Warm-up exists to build it from zero; list hygiene exists to stop bounces and traps from draining it; suppression discipline exists to keep complaint rate — its most sensitive input — low.
Because it is per-provider, diagnosis starts with segmentation. Placement collapsing at Outlook while Gmail stays healthy is not a "deliverability problem"; it is a Microsoft-ledger problem, and Microsoft SNDS is where the evidence lives. Our test methodology breaks placement out per provider for the same reason.
Monitoring is indirect but workable: Google Postmaster Tools for the Gmail domain ledger, SNDS for Microsoft's IP view, periodic blocklist checks for the public listings that both reflect and further damage reputation, and your own bounce and complaint telemetry as the leading indicators. None of these is the score; together they bound it usefully.
Limitations and failure modes
Managing the proxy instead of the mail. Teams fixate on a third-party score — Sender Score or similar — and celebrate its movement while Gmail placement stays broken. Estimates are estimates. The only ledgers that decide placement are the providers' own, and they are audited only through placement itself.
The reputation-transplant fantasy. A sender with a burned domain buys a new one, points mail at it, and expects a clean start. What they get is a cold start: zero history, bulk-sender scrutiny, and — if practices are unchanged — the same trajectory on a shorter fuse. Domain rotation is itself a spammer signature, and filters treat fresh domains accordingly.
One bad campaign, no buffer. A new or marginal sender runs one aggressive re-engagement blast to years-old addresses. An established identity might absorb the complaint spike; a thin ledger cannot. The send costs more than whatever it recovered.
Assuming the ledgers agree. A sender in good standing at Gmail concludes their reputation is "good" and stops investigating Yahoo. Each provider's data, users and model differ; standing must be verified per provider, not inferred from the friendliest one.
Silence as strategy. Pausing sends for months to "let reputation recover" mostly lets it evaporate — recency weighting cuts both ways, and an identity that stops sending stops accumulating positive evidence. Recovery runs through sustained clean sending at reduced volume, not abstinence.
Reading blocklists as the whole picture. Being listed nowhere is compatible with terrible provider-internal reputation. Blocklists catch the egregious cases; the quiet erosion that moves you from inbox to spam happens inside ledgers no public list reflects.

Frequently asked questions
How do I check my sender reputation? Directly, you cannot — providers keep their scores internal. The workable approximation: Google Postmaster Tools (Gmail domain reputation bands), Microsoft SNDS (IP-level complaint and trap data), public blocklist status, and your own placement testing. Divergence between those sources is itself diagnostic.
What is Sender Score and should I trust it? A 0–100 IP reputation estimate published by Validity from its own data network. Treat it as one directional input — a sharp drop is worth investigating — not as the number providers use, because it isn't.
How long does it take to repair a damaged reputation? Weeks at minimum, and only under sustained good behavior: reduced volume to engaged recipients, complaints near zero, bounces suppressed. Recency weighting means the ledger forgives, but it forgives on evidence, and repeat offenses extend the timeline each time.
Does sender reputation transfer when I change ESPs? The domain side follows you; the IP side does not. Moving platforms means new IPs (with the pool's existing standing) under your existing domain history. That is why a migration improves nothing by itself if the domain ledger is the damaged one.
Which matters more, IP or domain reputation? Both are live inputs, but the long-term trend across major providers has been toward domain weighting, because domains are stable identities and IPs are interchangeable. Practically: rent good IP standing from a well-policed platform, and treat the domain ledger as the asset you personally own.
Can a good reputation guarantee inbox placement? No. Reputation buys benefit of the doubt, not immunity — placement is decided per message, per recipient, and a campaign that triggers complaints will spend reputation rather than be protected by it.
Reputation is a savings account you can only audit through withdrawals. Fund it with wanted mail, watch the proxies that exist, and when the balance is in doubt, measure the outcome directly — placement, per provider, the way our methodology does.
